Sip & Stay™ Property Content & Brand Authorization
Effective Date: September 16, 2026
This Property Content & Brand Authorization ("Authorization") grants Steeped-N-Luxury, operating the Sip & Stay™ Hospitality Partner Program ("Sip & Stay™," "we," "our," or "us"), permission to use information, branding, and materials submitted by a Hospitality Partner ("Partner," "you," or "your") for the purpose of providing requested Sip & Stay™ products and services.
This Authorization applies to the creation, production, hosting, maintenance, and updating of personalized hospitality materials, including the Digital Guest Concierge.
By accepting this Authorization through the applicable onboarding process, you agree to the following terms.
1. Authorization to Use Submitted Content
The Partner grants Sip & Stay™ permission to use, reproduce, resize, format, edit, and display submitted materials as reasonably necessary to create, produce, host, maintain, and support the products and services requested by the Partner.
Submitted materials may include, but are not limited to:
Property name
Business name
Logos
Brand colors
Property photographs
Welcome messages
House rules
Wi-Fi information
Check-in instructions
Checkout instructions
Parking information
Emergency contact information
Local recommendations
Amenity information
Property descriptions
Other information voluntarily submitted by the Partner
Sip & Stay™ will use these materials for the agreed hospitality services and will not treat this operational authorization as permission for unrelated marketing.
2. Ownership of Content
The Partner retains ownership of original content submitted to Sip & Stay™, subject to any applicable third-party ownership rights.
Nothing in this Authorization transfers ownership of the Partner's intellectual property to Sip & Stay™.
Sip & Stay™ retains ownership of its own original branding, templates, designs, systems, and other proprietary materials unless a separate written agreement expressly provides otherwise.
3. Limited License
The Partner grants Sip & Stay™ a non-exclusive, royalty-free, limited license to use submitted materials as reasonably necessary to provide the requested Sip & Stay™ products and services.
This license includes the creation and support of:
Digital Guest Concierge pages
Guest Welcome Pages
QR code destinations
Welcome Kits
Printed hospitality materials
Acrylic signage
Guest instruction cards
Digital hospitality materials
Hospitality Partner resources
The license remains effective for as long as necessary to provide the requested services, subject to the Partner's right to revoke authorization under Section 11.
After cancellation or termination, Sip & Stay™ may retain records and materials only as described in Section 7 or as otherwise permitted or required by law.
This license does not authorize Sip & Stay™ to sell the Partner's branding or submitted content to unrelated third parties.
4. Accuracy of Submitted Information
The Partner represents that:
Submitted information is accurate to the best of the Partner's knowledge.
The Partner owns submitted content or has obtained the permissions necessary to provide and authorize its use.
The Partner has authority to submit information relating to the property or business.
Submitted materials do not knowingly violate another party's intellectual property, privacy, or other legal rights.
The Partner is responsible for reviewing and maintaining the accuracy of property-specific information.
This includes information that may affect guest access, safety, or the guest experience.
Sip & Stay™ remains responsible for correcting errors it introduces during the creation or updating of materials, subject to the applicable agreement and law.
5. Third-Party Recommendations
The Partner is responsible for selecting and submitting businesses, restaurants, attractions, vendors, and services recommended on the Partner's Digital Guest Concierge.
Sip & Stay™ does not independently verify or guarantee the accuracy, availability, quality, or suitability of Partner-submitted recommendations unless a separate service expressly provides for such verification.
The Partner should notify Sip & Stay™ when a recommendation needs to be corrected or removed.
6. Property Updates
The Partner may request updates to submitted property information through the official Property Update Request Form or another designated support method.
An active Digital Guest Concierge hosting subscription includes up to two routine content update requests per property, per monthly billing period.
Routine updates may include reasonable changes to existing property information, such as:
Wi-Fi details
Check-in or checkout instructions
Parking information
House rules
Contact information
Existing local recommendations
Other comparable updates to existing concierge content
Unused update requests do not roll over to subsequent billing periods.
Additional update requests, extensive redesigns, substantial content additions, or work outside the existing concierge scope may require a separate fee.
Sip & Stay™ will disclose any additional fee and obtain the Partner's approval before beginning billable work.
Sip & Stay™ will make reasonable efforts to complete approved updates within its published turnaround time.
The Partner remains responsible for providing guests with accurate and current essential information while an update is pending.
The two routine monthly content update requests are separate from the two rounds of initial proof revisions included with the Starter Package.
Further details are provided in the Digital Guest Concierge Hosting & Subscription Policy.
7. Removal of Content & Record Retention
When the initial 30-day included hosting period expires without the Partner purchasing a monthly hosting subscription, Sip & Stay™ may deactivate or remove the associated guest-facing Digital Guest Concierge page and QR code destination.
Sip & Stay™ will communicate the included hosting expiration date and send a reminder before expiration. There is no automatic courtesy extension.
When an existing paid Digital Guest Concierge subscription ends, Sip & Stay™ may deactivate or remove the associated guest-facing concierge page and QR code destination in accordance with the applicable subscription terms.
If a Partner cancels a paid subscription, the concierge will generally remain active through the end of the current paid billing period unless otherwise agreed or earlier removal is necessary under this Authorization or applicable law.
Upon termination of the Hospitality Partner relationship, Sip & Stay™ may remove:
Guest Welcome Pages
Digital Guest Concierge pages
QR code destinations
Partner branding displayed through the service
Property information displayed through the service
Other hosted digital hospitality materials
Sip & Stay™ may retain internal project files, invoices, communications, transaction records, and production records where reasonably necessary for legitimate business operations, dispute resolution, legal compliance, or applicable record-retention obligations.
Retained information will remain subject to applicable confidentiality, privacy, and legal requirements.
Termination of hosting does not require the return or destruction of physical products already produced or delivered.
8. Marketing Permission
Permission to use Partner content to provide hospitality services is separate from permission to use that content for marketing.
Sip & Stay™ will obtain the Partner's separate affirmative permission before using identifiable property photographs, property names, logos, branding, completed project images, or customized hospitality materials in:
Website portfolios
Social media posts
Promotional materials
Advertising
Case studies
Other public marketing
The Partner may grant or decline marketing permission without affecting eligibility for the requested hospitality services.
Marketing permission may be withdrawn by written notice to Sip & Stay™.
Following withdrawal, Sip & Stay™ will stop new marketing uses and make reasonable efforts to remove materials from marketing channels under its control. Withdrawal may not reverse materials already distributed or uses that cannot reasonably be recalled.
Sip & Stay™ will not intentionally disclose confidential property information, guest information, access codes, Wi-Fi passwords, or sensitive operational details in marketing materials.
Any separate marketing permission should identify the materials and permitted uses clearly.
9. Confidential Information
Sip & Stay™ will take reasonable measures to protect confidential information submitted during onboarding and throughout the Hospitality Partner relationship.
Confidential information may include:
Wi-Fi passwords
Access codes
Private property instructions
Nonpublic emergency contact information
Shipping addresses
Billing information
Nonpublic contact information
Other information designated confidential or reasonably understood to be confidential
Confidential information will be used only as reasonably necessary to provide the requested services, administer the Hospitality Partner Program, meet applicable legal obligations, or as otherwise authorized by the Partner.
Guest-facing information: The Partner understands that information approved for inclusion on the Digital Guest Concierge will be accessible to people who can access that page, including guests who receive or scan the QR code.
The Partner should not submit information for guest-facing publication unless it is appropriate for the intended audience.
Sip & Stay™ will not knowingly publish information designated as private or internal-only without authorization.
The Partner should promptly request removal or correction of any sensitive information that should no longer appear on the concierge.
10. Limitation of Responsibility
The Partner is responsible for providing and maintaining accurate property-specific information.
Sip & Stay™ is not responsible for inaccuracies that originate in Partner-submitted content or for outdated information that the Partner has not reported, to the extent permitted by applicable law.
Sip & Stay™ is responsible for performing its agreed services with reasonable care and for addressing errors it introduces, subject to the applicable agreement and law.
The Partner remains responsible for ensuring that guests receive essential check-in, access, and safety information, including through an alternative communication method if the Digital Guest Concierge becomes unavailable.
Nothing in this Authorization limits liability or remedies that cannot lawfully be excluded.
11. Revocation of Authorization
The Partner may revoke this Authorization by providing written notice to Sip & Stay™ at:
The Partner should identify the property and specify whether the request concerns particular materials or all submitted property content.
Sip & Stay™ will review the request and cease the affected uses within a reasonable period, subject to any applicable legal obligations and the need to complete or address previously authorized transactions.
Revocation of authorization necessary to operate the Digital Guest Concierge may require the associated page or content to be deactivated or removed.
Revoking content authorization is not, by itself, a request to cancel recurring billing. If the Partner also wishes to cancel the hosting subscription, the Partner should submit a cancellation request through the designated cancellation method or clearly state that request in the same email. Sip & Stay™ will process any clear cancellation request under the applicable subscription terms and law.
Revocation does not retroactively affect completed products already produced or delivered.
Refund eligibility remains subject to the Refund Policy and applicable law.
12. Relationship to Other Policies
