Sip & Stay™ Digital Guest Concierge Hosting & Subscription Policy
Effective Date: September 16, 2026
The Digital Guest Concierge is a personalized, QR-code-accessible webpage provided through the Sip & Stay™ Hospitality Partner Program, a service of Steeped-N-Luxury.
This Digital Guest Concierge Hosting & Subscription Policy ("Policy") explains the terms for activation, included hosting, ongoing subscription payments, content updates, failed payments, suspension, cancellation, and service termination.
This Policy applies to each property enrolled in the Digital Guest Concierge service.
By affirmatively enrolling in the hosting subscription and authorizing recurring payments through the applicable enrollment or checkout process, the Hospitality Partner ("Partner," "you," or "your") agrees to the applicable subscription terms.
1. Digital Guest Concierge Service
The Digital Guest Concierge is designed to provide guests with approved property information through a personalized webpage.
Depending on the property's submitted content, the concierge may include:
Welcome messages
Property descriptions
Wi-Fi information
Check-in and checkout instructions
Parking information
House rules
Amenity information
Emergency contact information
Local recommendations
Other approved hospitality information
Guests may access the concierge using a QR code or direct webpage link.
The Partner understands that anyone who obtains the QR code or link may be able to access the page.
The Partner is responsible for determining which property information is appropriate for guest-facing publication.
Sip & Stay™ does not provide property management, reservation management, or emergency response services.
2. Starter Package & Included Hosting
The initial Sip & Stay™ Hospitality Partner Starter Package costs $249 per property.
The Starter Package includes the first 30 calendar days of Digital Guest Concierge hosting for one property.
The included hosting period begins when the personalized Digital Guest Concierge is:
Completed and approved for activation, where applicable.
Activated by Sip & Stay™.
Made available for guest use.
The included period does not begin on the application date, purchase date, payment date, or date onboarding information is submitted unless activation also occurs on that date.
Sip & Stay™ will communicate the activation date to the Partner.
The Starter Package includes only the physical and digital items identified in the applicable product description or accepted order.
Guest Welcome Kit refills and additional products are purchased separately.
3. Monthly Hosting Subscription
After the included 30-day hosting period, continued Digital Guest Concierge hosting costs:
$12.99 per month, per property.
The monthly subscription includes:
Continued hosting of the personalized Digital Guest Concierge.
Basic technical maintenance.
Up to two routine content update requests per property, per monthly billing period.
The monthly subscription does not include:
Physical Guest Welcome Kit refills.
Unlimited content updates.
Extensive redesigns.
Major content additions.
New concierge pages for additional properties.
Other separately priced products or services.
Each additional property requires its own applicable purchase and hosting arrangement unless Sip & Stay™ expressly agrees otherwise in writing.
4. Subscription Enrollment & Recurring Payment Authorization
Before recurring billing begins, Sip & Stay™ will disclose the applicable subscription terms, including:
The monthly subscription price.
The billing frequency.
The date or method for determining the first recurring charge.
The method for canceling.
Any other disclosures required by applicable law.
The Partner must affirmatively authorize recurring payments through the applicable enrollment or payment process.
Acceptance of general website Terms & Conditions alone does not replace any separate recurring-payment authorization required by law or the payment provider.
The first recurring payment becomes due 30 calendar days after Digital Guest Concierge activation, provided the Partner has authorized continued hosting and has not canceled before that billing date.
Subsequent payments will be billed monthly according to the billing schedule disclosed during enrollment.
Sip & Stay™ will not intentionally begin the monthly billing period on the Starter Package purchase date when concierge activation occurs later.
The Partner is responsible for maintaining a valid payment method and accurate billing contact information.
5. Activation & Service Availability
Sip & Stay™ will activate the Digital Guest Concierge after the applicable setup requirements have been completed.
These requirements may include:
Receipt of the Starter Package payment.
Submission of required property information.
Receipt of necessary content and branding materials.
Completion of the concierge design.
Final approval of the applicable proof.
Sip & Stay™ will communicate when the concierge has been activated and made available for guest use.
The activation date establishes the beginning of the included 30-day hosting period.
Sip & Stay™ will make reasonable efforts to maintain the concierge and address reported technical issues.
However, uninterrupted availability is not guaranteed.
Temporary interruptions may occur because of maintenance, hosting issues, internet disruptions, third-party service failures, or other circumstances.
The Partner remains responsible for providing guests with essential check-in, property access, and safety information through an alternative method when necessary.
6. Routine Content Updates
An active monthly hosting subscription includes up to two routine content update requests per property, per monthly billing period.
Routine updates generally involve reasonable modifications to information already included on the concierge.
Examples include:
Updating Wi-Fi details.
Revising check-in or checkout instructions.
Changing parking information.
Updating house rules.
Correcting contact information.
Replacing or updating existing local recommendations.
Making comparable changes to existing property content.
Unused update requests do not roll over to a future billing period.
Multiple unrelated changes submitted together may be treated as more than one request depending on their scope. Sip & Stay™ will communicate this determination before beginning work that would exceed the included allowance.
Update requests should be submitted through the official Property Update Request Form or another designated support method.
Sip & Stay™ will make reasonable efforts to complete approved updates within its published turnaround time.
The Partner is responsible for communicating urgent or time-sensitive changes directly to guests while an update is pending.
The two routine monthly content update requests are separate from the two rounds of initial proof revisions included with the Starter Package.
7. Additional Updates & Design Services
Requests outside the routine monthly update allowance may include:
More than two routine update requests during a billing period.
Extensive page redesigns.
Substantial additions to concierge content.
New page sections requiring significant design work.
Major branding changes.
Other services outside the existing hosting scope.
These services may require additional fees.
Sip & Stay™ will explain the proposed scope and disclose the applicable fee before beginning billable work.
No optional additional service charge will be incurred without the Partner's approval.
8. Failed Payments & Grace Period
If a monthly subscription payment fails, Sip & Stay™ will notify the Partner using the contact information on file.
The Partner will have a 10-calendar-day grace period beginning on the original payment due date to resolve the outstanding balance.
During the grace period, Sip & Stay™ will generally maintain access to the Digital Guest Concierge.
If payment remains outstanding after the grace period, Sip & Stay™ may suspend the service after providing notice.
Sip & Stay™ will not intentionally display the Partner's payment status, account balance, or billing dispute on a public guest-facing page.
A suspended concierge may display a neutral service-unavailable message or otherwise become inaccessible.
The Partner remains responsible for providing guests with essential property information during any interruption or suspension.
A failed payment does not automatically terminate the entire Hospitality Partner relationship.
Any collection of outstanding charges, retries, or other payment actions will be subject to the payment authorization, applicable agreement, and law.
9. Service Suspension & Reactivation
Sip & Stay™ may suspend the Digital Guest Concierge for reasons including:
An unresolved payment failure after the applicable grace period and notice.
Material misuse of the service.
Unlawful or infringing content.
A material violation of applicable program terms.
A security concern requiring prompt action.
Where reasonably appropriate, Sip & Stay™ will notify the Partner and provide an opportunity to resolve the issue.
Immediate suspension may be necessary to address an urgent security issue, unlawful content, or another situation requiring prompt action.
Reactivation may require:
Resolution of the issue causing suspension.
Payment of outstanding authorized charges, where applicable.
Updated property information.
Completion of necessary technical steps.
Sip & Stay™ will communicate any applicable reactivation requirements.
Suspension does not automatically cancel the subscription or waive charges already owed. Any future billing during an extended suspension will be handled according to the circumstances, applicable agreement, and law.
10. Subscription Cancellation
The Partner may cancel the Digital Guest Concierge hosting subscription through the designated cancellation method or by emailing:
A cancellation request should identify the property associated with the subscription.
Sip & Stay™ will process clear cancellation requests in accordance with applicable law and the payment provider's requirements.
Cancellation stops future recurring subscription charges.
10.1 Cancellation During the Included 30-Day Period
The Partner may cancel during the included hosting period.
If cancellation is completed before the first recurring billing date, the Partner will not incur a monthly hosting subscription charge.
Cancellation of hosting does not automatically result in a refund of the $249 Starter Package or completed customization work.
Starter Package refund eligibility is governed by the Refund Policy and applicable law.
10.2 Cancellation After Monthly Billing Begins
After recurring billing begins, the Partner may cancel to stop future charges.
The concierge will generally remain active through the end of the current paid billing period unless otherwise agreed or earlier removal is required by law or an authorized content-removal request.
Monthly subscription payments are generally non-refundable and will not be automatically prorated for unused hosting time, except where required by applicable law or where Sip & Stay™ determines that a refund is appropriate because of a billing error or service issue.
10.3 Cancellation Confirmation
Sip & Stay™ will provide confirmation of cancellation through the applicable account process or by email.
The confirmation will identify the effective cancellation date and, where applicable, the date concierge access is scheduled to end.
The Partner should retain the confirmation for their records.
11. End of Hosting & Content Removal
When the hosting subscription ends, Sip & Stay™ may deactivate or remove the associated Digital Guest Concierge page and QR code destination.
A QR code printed on a physical product may remain physically intact after hosting ends, but its destination may no longer display the concierge.
Cancellation does not automatically require Sip & Stay™ to replace, modify, or refund physical products already produced or delivered.
The Partner is responsible for replacing or updating guest-facing signage and providing alternative access to essential property information when hosting ends.
Sip & Stay™ may retain internal project files, transaction records, communications, and other information as described in the Privacy Policy and Property Content & Brand Authorization.
If the Partner requests earlier removal of specific content or revokes authorization to use property materials, Sip & Stay™ will review and process that request under the applicable authorization, agreement, and law.
12. Subscription Pricing Changes
The current monthly hosting price is $12.99 per property.
Sip & Stay™ may change subscription pricing for future service periods.
Changes affecting an existing subscription will be communicated in advance and implemented in accordance with applicable law and the Partner's accepted subscription terms.
Where additional authorization is required, Sip & Stay™ will obtain it before implementing the change.
A new subscription price will not be applied retroactively to a billing period already paid for.
13. Refunds & Billing Issues
Monthly subscription payments are generally non-refundable and are not automatically prorated for unused hosting time.
Exceptions may apply where required by law or where Sip & Stay™ determines that a refund or correction is appropriate because of a billing error or service issue.
Partners who believe they have been charged incorrectly should contact:
Sip & Stay™ will review reported billing issues and provide appropriate corrections or legally required remedies.
Starter Package refunds, customized product refunds, damaged orders, and other product-related refund matters are governed by the Sip & Stay™ Refund Policy.
Nothing in this Policy limits a Partner's legally protected right to dispute an unauthorized or incorrect charge.
14. Related Agreements, Changes & Contact
This Policy should be read together with the applicable:
Hospitality Partner Agreement
Terms & Conditions
Refund Policy
Shipping Policy
Privacy Policy
Property Content & Brand Authorization
This Policy specifically governs Digital Guest Concierge hosting and subscription matters.
Where provisions conflict, the documents will be interpreted together where possible. More specific terms accepted for a particular subscription will govern that subscription to the extent permitted by applicable law.
Sip & Stay™ may update this Policy from time to time.
Updated versions will be posted with a revised effective date.
Material changes affecting existing subscriptions will be communicated in advance where required by law or the applicable agreement. Any required authorization will be obtained before implementing such changes.
